How to Enable Transcription in Microsoft Teams

Microsoft Teams is the collaboration tool of choice in many hybrid work situations today, and for good reason. Teams is more than simply a tool for holding meetings; it is also a center of productivity tools designed to help employees work more efficiently together. The fact that Microsoft is always releasing new features and functionality for consumers is one of the factors that contribute to the solution’s popularity. Transcription is just one of the numerous capabilities available to you to make your Microsoft Teams recordings even more valuable.

Those working on Teams may configure their system so that content from meetings is automatically transcribed, making it easier to find and audit in the future. So, how do you make transcription available in Microsoft Teams for your team? We’ve put up this step-by-step guide to assist you.

Enabling Transcription in Teams

The first step in enabling transcriptions for your Microsoft Teams meetings is to provide permission for the capability to operate. This is something that you’ll need to conduct using the Microsoft Teams admin account in order to complete the task. Captioning and transcribing functions may be enabled and disabled on an individual organization and user basis, and settings are available for both services in the same location. You may choose whether to just transcribe and record your chats, or if you want your users to be able to watch the transcriptions in real time as real-time captions, among other options.

You must also guarantee that English is spoken during the meeting, as translation transcriptions are not yet accessible for this purpose.

However, you can still record the chat while transcription is switched off.

In the Microsoft Teams Admin Centre

When it comes to transcriptions and recording, you may use either the Microsoft Teams Admin Center or the PowerShell command center to manage your Teams policy. Navigate to the Audio and Video settings in the Teams Admin Center and click the option to toggle Allow Transcription on or off. You may also enable cloud recording in this area, as well as choose where you want your transcriptions and chats to be stored. People who are not affiliated with your organization will not be able to start or stop a recording.

Unless you have assigned specific policies to your users, you should be able to provide transcriptions for all of your users as part of the global policy update.

This will restore the user’s account to the Global policy.

  • When beginning meeting recordings, all users should have the ability to transcribe meetings
  • It is possible to selectively disable recording options for some users while still enabling transcription for the majority of users during meetings. There will be no ability for users to transcribe recordings or meetings
  • With the ability to selectively permit recording for the appropriate users, the vast majority of users will not be able to transcribe recordings.

When a meeting recording is initiated, all users should be able to transcribe it. It is possible to selectively stop recording features for particular users while still enabling transcription for the majority of users during meetings; User access to transcribe audio or video recordings or meetings is strictly prohibited. With the ability to selectively permit recording for the appropriate users, the vast majority of users will not be able to transcribe their recordings.

Storing Your Transcriptions

Beyond merely enabling transcriptions, you’ll also need to ensure that you have a system in place for archiving and retrieving this data. Generally speaking, a single 1-hour recording will take up around 400MB of storage space, so you’ll want to be sure you have adequate space before you start recording. For further information, consult your Microsoft Stream licence agreement. After you’ve selected a storage location for your Microsoft Teams recordings, they’ll be classified as tenant-only material from the Microsoft team once you’ve selected a storage location.

In the event that someone who owns a recording leaves the organization and quits their Teams account, you will still be able to access it as an administrator.

Meeting recordings are saved in Microsoft Stream, which, according to Microsoft, complies with the highest levels of security and privacy standards available.

It is possible to obtain recordings of phone calls and meetings belonging to an organization by searching for the term “recording.” To unlock the recordings, however, you will need to be able to log into Microsoft Stream with administrative privileges.

Interactive TranscriptsRecordings

A recording and transcription system records and transcripts each live video meeting. Following the conclusion of the meeting, both the meeting tape and the transcript will begin processing immediately. It is customary for the processing time to be 1.5 times the length of the meeting itself (a 30 minute meeting would take roughly 45 minutes to process and transcribe).

Each individual’s Video Transcription Glossary is a one-of-a-kind creation.

Environments for Research Transcription Editing: The correctness of a transcription might vary depending on the sound quality and accent variances.

Recording and Transcript Export Options

There are a variety of export choices and formats available. Please keep in mind that the choices accessible to you will differ depending on the user roles that attended your meeting. As an example, you will not be able to select Video Export with Front and Back Room audio if the meeting did not make use of the backroom audio channel during the presentation. Alternatively, click on theExport Meetingbutton, which is placed to the upper right of the recording window (Live Group Chat) or immediately underneath it (Live Video Interviews).

Meeting Transcript (Excel): This option generates an Excel workbook with distinct pages for each type of material (e.g., the Transcript itself, participants, and poll data, if appropriate)
  • It is the default. This option generates a media-embedded HTML transcript, which is comparable to the transcript displayed in the platform and may be exported as a PDF file. Translations: Front Room (VTT): This VTT file will contain audio recordings of the Host and participants that have been translated to text. The Front Room and Backroom (VTT) subtitles will contain the audio from the Host and participants, as well as any Backroom audio that has been converted to text

Translator Exports

Each meeting can accommodate a number of simultaneous translators. The audio for a translator is recorded separately from the audio for the front and rear rooms.

  • Once the meeting has concluded, the video of the meeting is mixed with the voice of each translator and made available for download as a separate file
  • Translations are also made available as time-coded subtitle files (VTT format) in addition to the original transcription.

All of the translator’s audio is transcribed as well. The translation is not displayed in the transcript by default, but it may be enabled if the transcript is to be reviewed as text instead of a transcript. As someone who routinely does technology sales consults, extracting high-level needs while also taking precise notes may be a difficult task, especially if you’re attempting to manage a Teams meeting while also being there and taking accurate notes. Due to the fact that everyone can see my notes, I don’t like to take them in the Teams meeting itself. As a result, I’m always switching between OneNote and Teams, which is cumbersome at best.

Focus Group Transcription Services

We can provide transcription services for focus groups from video files as well as from standard audio formats. In fact, we strongly advise that you film focus groups if at all feasible, and that you take care to ensure that the audio is correctly recorded as well. The quality of the transcript will significantly improve as a result of this. Transcribers who use video sources can see who is speaking and can accurately identify them in the transcripts they provide as a result. Due to the fact that voices often sound quite similar, this is not always practicable with audio-only sources.

On-camera microphones, as a rule, do a terrible job at recording audio in general.
